Case study ยท Tapyard

A tailored system for 180+ events a year.

A packed club night at Tapyard

The business

An independent events venue running weddings, club nights, private hire and productions.

The problem

Know-how spread across people, group chats and several apps, with too many questions going back to the owner.

What we built

A Notion handbook and SOPs, databases for bookings, staff and suppliers, automations between tools, and AI used in the day-to-day.

Tapyard is where Stillrun's approach was built and tested, on a real venue with a busy calendar.

Where it started

Most of what the team needed to know lived in people's heads, group chats and a handful of separate apps. Questions about bookings, suppliers and how jobs were done kept going back to the owner.

What we did

  • Wrote it down. Every regular job became a clear, step-by-step process in a central handbook.
  • Brought it together. Bookings, staff and suppliers moved into connected Notion databases, so there's one place to look.
  • Automated the repetitive admin. Repetitive admin between tools now happens automatically.
  • Added AI. With everything documented, AI is used in the day-to-day to find answers and handle routine work.

The result

A venue running 180+ events a year on one joined-up system, with answers kept in one place instead of in people's heads.
